We are seeking a detail-oriented and highly organized Purchasing Administrator to join our team. This role will work cross functionally with various departments to support the corporate office’s purchasing activities, with a focus on managing vendor information, assisting with purchase orders and receipts, and updating corporate hotel rates. The ideal candidate will have strong communication skills, a keen eye for detail, and the ability to work efficiently in a fast-paced environment

Responsibilities

  • Maintain and update accurate vendor information in the company’s ERP system.
  • Ensure vendor records are complete, including addresses, contact details, and payment information.
  • Assist with the creation and processing of purchase orders for good and services.
  • Coordinate with internal departments to confirm receipt of goods and services, ensuring accuracy against purchase orders.
  • Assist in the negotiation and updating of corporate hotel rates with hotel partners.
  • Ensure that corporate hotel rate information is accurate and up to date in the company's internal systems.
  • Collaborate with HR, travel coordinators, and other stakeholders to manage the hotel program efficiently.
  • Provide general administrative support to the Purchasing team.
  • Prepare and maintain reports, tracking spreadsheets, and documentation related to purchasing activities.
  • Recommend improvements to purchasing and vendor management processes to enhance efficiency and accuracy.
  • Support initiatives aimed at process optimization.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree in business, purchasing, or a related field preferred.
  • 1-2 years of experience in business, purchasing, or administration.
  • Experience with vendor data management, purchase orders, and receipt processes is a plus.
  •  Strong organizational and time management skills.
  • Detail-oriented with the ability to maintain accuracy in data entry and documentation.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of ERP systems (Oracle) is a plus.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
